Frequently Asked Questions

Anyone can submit a report via the Speak Up website. This includes:

  • Internal stakeholders: employees, managers, temporary workers, interns, and contractors.
  • External stakeholders: suppliers, business partners, consultants, customers, and any other third parties interacting with the company.

You do not need to be an employee to raise a concern. If you become aware of conduct or situations that may breach our values, internal policies, or the law, you are encouraged to Speak Up. Reports can be made in good faith and, where permitted by applicable law, anonymously.

You can report any serious concern related to:

  • Human rights & fundamental freedoms
    • Examples include child or forced labor, harassment or bullying, discrimination, or human rights risks in our supply chain.
  • Health, safety & security
    • Examples include unsafe working conditions, lack of emergency procedures, improper handling of hazardous materials, or unmanaged health risks.
  • Environmental protection
    • Examples include pollution, improper disposal of hazardous substances, or environmental damage such as deforestation.
  • Economic & financial integrity
    • Examples include fraud, corruption, conflicts of interest, misuse of company assets, or disclosure of sensitive information
  • Violations of the Code of Ethics
    • Examples include behaviors or decisions that breach our ethical commitments or may harm our reputation.
  • Retaliation after raising a concern
    • Examples include exclusion from opportunities, unfair changes in compensation or duties, contract termination, harassment, or bullying following a report.

Your report should be factual, objective, and directly related to the concern. When possible, include:

  • When and where the incident occurred
  • Who was involved (names, roles)
  • Any witnesses and their roles
  • How you became aware of the issue (direct or indirect knowledge)
  • Whether you previously raised concern within the company and any actions already taken
  • Whether any legal or formal proceedings are pending
  • You may also attach documents that help explain or support your report (any file type or size).
    Do not upload documents that:
    • Were obtained illegally (e.g., stolen files, secret recordings)
    • Are protected by confidentiality laws (e.g., medical records, legal privilege, investigation secrecy), unless the information belongs to you personally.

Yes. The secure Actylis Speak Up website allows you to submit a report anonymously. You will still be able to communicate with the team handling your report through a secure, confidential online message box—without revealing your identity. The system protects confidentiality through encrypted exchanges and does not use cookies or tracking tools that identify users.

Anonymous reports must include enough detailed and factual information to be reviewed.
Although anonymous reporting is allowed, it is generally recommended to share your identity. Your identity will be kept strictly confidential and will not be disclosed to the person involved unless you provide explicit consent or if required by law.

Yes. Confidentiality is essential to ensure you feel safe raising concerns. All Speak Up reports are shared strictly on a need-to-know basis with only those responsible for handling the case - not with general management or colleagues. Anyone involved in an ethics investigation is bound by a strict confidentiality obligation regarding the details of the case and the identity of all individuals involved (reporter, witness, or accused).

Investigations are managed in a secured, encrypted system, accessible only to specifically authorized employees within the Actylis Ethics team. All other employees are prohibited from accessing this information.

Breaching confidentiality may lead to disciplinary action, up to and including termination of contract.

Your identity will remain confidential and will not be shared with the person involved in the allegation unless required by law or if you provide explicit consent. However, your information may be shared with those directly responsible for handling the report or implementing corrective actions.

In certain situations, information identifying the reporter may need to be shared with relevant authorities if Actylis is legally required or has a legitimate interest in reporting the matter. When possible, you will be informed—unless doing so would compromise ongoing proceedings.

At Actylis, ethics investigations generally follow these steps:

STEP 1 – Reception
Your Speak Up report is reviewed, and you may be contacted for additional details if needed.

STEP 2 – Admissibility Assessment
The Ethics team determines whether the concern falls within the scope of the Speak Up Policy and meets the necessary conditions for investigation.

STEP 3 – Investigation
An impartial investigation is conducted using appropriate methods such as interviews, document review, and other evidence-gathering techniques.

STEP 4 – Investigation Report & Remediation
Findings are shared with the appropriate Ethics, Human Resources, and management representatives. Management may take corrective or disciplinary actions based on the results.

STEP 5 – Follow-Up
When applicable, the reporter may be contacted afterward to ensure they are not experiencing retaliation for raising the concern.
